Ensuring All Visits Are Closed
Overview
Before you can begin the billing process, you will need to check the billing period for any unclosed visits and any unresolved red magnifying glasses and resolve the issues. If there are unclosed visits (scheduled, arrived or on hold) they will not bill or pay and you can pick them up in the next round.
Directions below will guide you through manually closing the visits yourself, but most likely you will want to take advantage of Ankota's features to send visits back to the caregiver. Visit Approval Dashboard
The first step in ensuring all visits are closed is checking the Visit Approval Dashboard. In this location, you will review and address any visits with rule violations or other issues that are preventing them from moving to billing and payroll. On Hold Visits
For visits that are On Hold, these visits will be visible in the Visit Approval Dashboard under the catch-all category of Needs Action as well as the specific On Hold category (either can be used to search for On Hold). These visits will need to be completed and closed. For a detailed walkthrough of this process, see Closing On Hold Visits.
Scheduled Visits
For visits that are still in the status of Scheduled, these visits can be identified by going to the Visits page and searching for all visits still in the status of Scheduled with a date range ending yesterday. These visits will need to be manually closed, canceled, or deleted as appropriate.
To cancel the visit(s),
- Select the visits
- Click the Cancel Visits button
To delete the visit(s),
- Select the visits
- Click the Delete Visits button
To close the visit(s), again filter for the appropriate visits on the Visits page. Next, close the visit either by clicking the edit (pencil and paper) icon and closing it individually, or selecting all the visits you wish to close and clicking the Report Visit Completion button. Be sure to put in the appropriate clock in/out times, whichever method you choose.
If desired, you can also click on the book icon and report care plan items as needed, and/or click on the paperclip icon to upload a copy of supporting documentation (such as a scanned timesheet).
