Ohio ID Management

Overview

In Ohio, there are several different IDs that may be necessary in addition to or in place of the Medicaid ID. One ID is a newborn ID. This ID is assigned when the client is a newborn and awaiting further ID.


Another is the PIMS ID. PASSPORT Data Collection ODA has created a centralized data collection and decision support tool for PASSPORT – the PASSPORT Information Management System (PIMS). PIMS is a software system that collects data on preadmission review, assessment activity, service plans for consumers that have been developed with the assistance of PAA case managers, and individual claims records submitted by service providers. The service providers are paid directly by the PAAs based on whether the service provided has been authorized by the case manager and actually delivered by the service provider. Conversion to the new system was completed in September 2004. 


The PIMS ID is used when someone is on state funded PASSPORT services and is assigned by the Ohio Department of Aging. The newborn indicator serves a similar purpose but is for those situations when a newborn is receiving services before a Medicaid ID is assigned and is not related to the PIMS ID.  (A newborn will not have a PIMS ID.)


In general, Medicaid IDs are required unless a) the client is newborn and identified as such; or b) if the individual is being provided services through ODA and a PIMS ID has been provided.


Management of IDs in Ankota

Enter your Medicaid ID if one is available. If you are using a PIMS ID instead, enter the PIMS ID in the Client Payer ID field. You may also wish to enter an internal-only company tracking ID in the Client ID field if desired/necessary.


Alternately, if you have just the newborn ID, please put the newborn client payer ID in the client's main Personal page and go to the client details tab to check the newborn indicator. Don't forget to click Save Client Details.
