Understanding Templates and Permissions

Overview

Template permissions are used to define security and access rights in Ankota. This includes determining the following for each Role: 

  • The system areas (Main Menu items) that the user can see and access

  • The tabs within certain screens that the user can see

  • The functions the user can execute

The roles are set up by Ankota. Templates are associated with each role. While templates and roles define security, there are additional areas and ways in Ankota where security access can be even further defined.   


For example:

  • An Admin or Scheduler Role in Ankota can see all patientsgm

  • A Worker (typically a PCA or RN) can be configured in four ways:

    • Not allowed to see ankota.net at all, working only with EVV

    • Can see own visits and they have no access to any Patient functions (common for caregivers)

    • Can see their own visits AND can see the EHR of Patients assigned to him or her (common for case managers, nurses and therapists)

    • Can see all patients 

Templates

The hierarchy of templates is as follows:

  • Organization – Organizations have templates associated with them and for their roles. For example: an Admin Role set at the Organization level could include three templates: HR, Billing, and Super Admin.

  • Modules (Main Menu Items) – Modules are the items included on the Main Menu that appears on the left side of the screen. Note that the Main Menu listings can be individual items such as the Clients Screen, or they can be a grouping of items, such as within the Billing Function.

  • Pages – Modules include one or more Pages. Modules can be customized within Templates, and Templates can be customized by user. Thus, different users can log in to the same Role and see different data sets. For example, there may be six or seven Pages within the Billing Module and some of the templates may include a Page for managing Accumulated minutes and adjustments, whereas a different Template may omit those Pages.

  • Template Tabs – Template Tabs control the settings on a Page. This could include which fields, columns and function buttons to show or hide.

  • Display Configurations (Fields) - some fields on pages, such as the SSN number, can be hidden or partly hidden based on need. Inquire as needed.


The Ankota Support group can change some screens to make fields visible or invisible, so if you have specific preferences or needs, reach out to Ankota support.

Standard Templates/Viewpoints

A very common request is to set up standard Organization Administrators, or "Org Admins," with full access, with Schedulers, Billing/Payroll, and Receptionist/Front Desk (or "Intake") with limited access.

To request additional templates to limit your admins' access, you can copy from the list below or send us your own curated request to our Support team.

Note that tabs on the client & caregiver profile pages can be added or hidden as needed in template permissions as well. Most pages, such as Clients, Caregivers, or Staff under Users, can also be hidden. While not all fields on pages are configurable, in some cases (as with the Social Security Number) we can hide all or part of the field as needed.
